About the event

Under the general direction of the Education Services Director and in accordance with the mission of the Ada Jenkins Center, the purposes of Education Services' programs and services, and in collaboration with Site Coordinators, the Admin and Engagement Assistant will coordinate all aspects of Education Services' administration and client engagement

At least 2 years of experience in administration, education, and/or other related fields. Associates degree or higher a plus. Strong written and verbal communication skills in English and Spanish required. Must be willing to learn and employ the program's philosophy utilizing Love and Logic materials and principles in working with children and families. CPR and First Aid Certified. If not currently certified at the time of hire, certification can be acquired shortly after. Strong organizational skills and the ability to set priorities.

Able to follow up and follow through to meet program and self-set deadlines. Client centered, with the ability to relate to a range of constituents. Computer proficient in at least Microsoft Word, Outlook, Excel, and data bases. Principle Functions: Serve as the lead staff member for the enrollment process of students. 

Complete the eligibility enrollment process of director approved referrals/families documenting in the Afterschool 21 database. Oversee that each family is completing enrollment requirements and are within adherence to program/service policies. Answer inquiries about Adult Education services and programs. 

Prepare monthly reports, daily documentation of communications in the Afterschool 21 database, and other documents as needed regarding. Manage and update student information and enrollment status in the Afterschool 21 database. Prepare and provide letters to parents confirming dis-enrollments, dismissals, and graduations. Serve as the primary coordinator of support services and programs for students.  

Coordinate monthly parent and family engagement events. Work with staff members to identify students who are appropriate referrals for internal programs or external partner requests. Promote and assist in the completion of any necessary paperwork or other tasks to be completed by parents so students can participate in internal or external services or programs. Establish a relationship with families, communicating regularly via phone calls, email, in-person, and other modes of communication.  

Keep families informed of their enrollment participation including preparing and providing letters of mid-year updates and of conditional enrollment at the end of each designated evaluation period. Keep parents/clients informed of scheduled events. Schedule and assist in parent conferences. Distribute, collect, and analyze assessments, surveys, or evaluations needed from participants.
